Privacy statement
CO-MADE B.V. is a Dutch company and we comply with the GDPR laid down by the European Union. Although the GDPR only applies to EU residents, we think it is important to apply these rules to all our users, so that everyone benefits from the strict rules within this legislation.
Under this privacy legislation we are the party responsible for recording the personal data of our users and website visitors. You as a user are responsible for the information you record in SHIPM8. If that contains personal information, you are also responsible for informing your customers about it. In that case we are only the processor of the information. If you would like one, we can provide you with a data processing agreement.
Why do we record data, and what data is it?
We record personal information for a number of purposes. Each use is described below.
Website visitors
When you visit our website, we count visits so that we can see how the website is used. We do this with our own analytics software, running on our own server. It sets no cookies, does not follow you across websites, does not build a profile of you, and the figures are not shared with anyone else.
What we see is the page visited, the country the request came from, the type of device and browser, and the site that referred you. It is aggregated: there is no identifier that follows you as an individual, and we cannot tell one visitor from another. We use it only to understand which pages are useful and through which channel people reach us.
The contact and demo form
When you fill in the form, what you type is sent to our own server, recorded there, and emailed to our sales team so that someone can answer you. That is the name, company, email address, phone number, subject and message you entered, along with the date and the country the request came from. We use it to answer your enquiry and for nothing else. We do not pass it to third parties, apart from the mail service that delivers the message to us. If you tick the newsletter box, your email address is also added to our newsletter list, and every newsletter carries an unsubscribe link.
SHIPM8 account holders
When you register an account with us, we only ask you for your email address and a display name. We use the email address to contact you if something is wrong, and it gives you the option to receive updates or retrieve your login details if you choose to.
You can enter more personal information than just your email address, such as your real name and your company name, but this is not required for your account to work. We do not use it in any way and do not pass it on to others. It is only for your own convenience and to identify your account to other users through your public pages.
SHIPM8 paid subscribers
For paying subscribers we have to record a little more information to handle the financial process. We use SHIPM8 and third-party software to handle this, so we are not the only holder of the information. We have data processing agreements with every software supplier that handles your personal data.
When you contact us
When you contact us by email or through our support system, we record your contact details and your name in order to handle your questions or support requests. We keep this information in our support system so that we can help you if you decide to get in touch again later.
How we protect your information
We have taken all reasonable measures to keep your information as safe as possible within the means available to us. In practice this means our servers are secured by connections with SSL certificates and that we have antivirus software and firewalls in place.
We are also open to any vulnerabilities you might discover in our infrastructure. If you do find shortcomings in the way we have set things up, please let us know as soon as possible.
How long do we keep your information?
How long we store your data differs per situation.
- Your account details in the SHIPM8 ecosystem are stored for as long as you have an active account with us. If you choose to close your account, your data is permanently removed from our databases one calendar month afterwards. That also means there is no way to recover your data once it has been deleted.
- Website statistics are kept for six months and contain no personal data.
- What you send us through the contact or demo form is kept for one year, and is then deleted automatically.
- All financial information, contracts or other agreements you have with us are kept for 10 years in order to comply with local legislation.
- Information in our support system is kept for a maximum of one year. If it was recorded because it concerns legal matters or other disputes, this period can be extended.
What can you do to remove your personal data?
Log in to your account and clear the fields that contain your personal data. If you do not want to receive information from us, you can change your preferences when you log in to your account. We also give you an unsubscribe link in every email we send you for informational and promotional purposes. If you no longer want us to store your email address, change it to something that contains no personal information, or close your account.
